The Elroi Academy Code of Conduct (updated 4 August 2026). It forms part of the Enrolment Terms: enrolling with Elroi Academy means accepting it. Read it together with our Irregularity Policy.

1. Introduction

1.1 Purpose of the Code of Conduct

The purpose of this Code of Conduct is to establish clear standards of behaviour and expectations for all members of the Elroi Academy community. It serves as a guiding framework that promotes integrity, accountability, and mutual respect in all academic and administrative interactions.

A Code of Conduct is essential to ensure that all participants understand their responsibilities and the standards required to maintain a productive learning environment. Such standards create consistency and fairness when addressing behaviour and disciplinary matters, and provide a clear basis for decision-making where misconduct occurs.

1.2 Elroi Academy’s Mission and Values

Elroi Academy is committed to providing accessible, high-quality distance education aligned with the National Senior Certificate (NSC) curriculum. The academy seeks to support learners from diverse educational backgrounds and assist them in achieving academic success through structured guidance, discipline, and personal responsibility.

As a Christian-values-based institution, Elroi Academy strives to foster integrity, respect, diligence, and personal accountability in its academic community. The academy reserves the right to maintain an environment consistent with these values and to protect the integrity of its educational programmes.

1.3 Commitment to a Respectful Academic Community

Elroi Academy aims to cultivate a learning environment where all members of the community—learners, parents, staff, and partners—are treated with dignity and respect.

The Code of Conduct exists to:

  • Protect the academic integrity of the National Senior Certificate programme.
  • Promote responsible and ethical behaviour.
  • Ensure fairness in assessment and examinations.
  • Encourage constructive communication and collaboration.
  • Safeguard the reputation and values of Elroi Academy.

All members of the Elroi community share the responsibility of upholding these principles and contributing to a positive and disciplined academic environment.

1.4 Scope and Applicability

This Code of Conduct applies to all individuals involved in the Elroi Academy community, including:

  • Learners
  • Student Ambassadors
  • Parents and Guardians
  • Teachers and Staff
  • Account Holders and other representatives interacting with the academy

All learners enrolled with Elroi Academy are expected to take responsibility for their own learning, adhere to assessment rules, and maintain academic honesty in all work submitted.

Parents and guardians are encouraged to actively support the learner’s academic journey and cooperate with the academy in maintaining the standards outlined in this Code.

1.5 Relationship to Other Policies

This Code of Conduct should be read together with other Elroi Academy policies, including:

  • The Irregularity Policy
  • The Assessment Policy
  • The Admissions Policy
  • The Cancellation Policy
  • The Disciplinary Code

Together, these policies form the governance framework that ensures fairness, accountability, and compliance with the standards of the National Senior Certificate programme and relevant educational regulations.

2. Scope of the Code of Conduct

2.1 Application of the Code

This Code of Conduct applies to all members of the Elroi Academy community, including learners, student ambassadors, parents or guardians, teachers, and staff members.

The Code governs behaviour that may affect the academic integrity, learning environment, reputation, or functioning of Elroi Academy. All members of the community are expected to conduct themselves in a manner that reflects the values and standards of the institution.

2.2 Environments Covered by the Code

This Code of Conduct applies to behaviour occurring in any context connected to Elroi Academy, including but not limited to:

a) Elroi Academy Platforms
  • The Elroi Admin Academic and Support Portals on elroiassessments.co.za
  • Any online courses, learning management systems, or academic platforms used by the academy.
c) Official Communication Channels

This includes communication conducted through:

  • Official email communication
  • Q&A forums
  • Teacher communication platforms
  • Official Elroi announcements or messaging systems.

Respectful and appropriate communication is required at all times when interacting with staff, learners, or parents.

d) All Formal Examinations and Assessment Processes

The Code applies to conduct during:

  • Internal assessments, tests and examinations
  • SACAI examinations
  • Any academic activity connected to the National Senior Certificate programme.

All learners must comply with the assessment procedures established by Elroi Academy and SACAI to ensure that submitted work reflects the learner’s own effort and ability.

e) Messaging Platforms and Social Media Groups

The Code of Conduct also applies to behaviour on messaging platforms associated with Elroi Academy, including but not limited to:

  • WhatsApp groups
  • Telegram groups
  • Discord servers
  • Social media groups created for Elroi Academy or its learners

This includes both officially administered groups and student-initiated groups where the purpose of the group relates to Elroi Academy, its subjects, assessments, or social activities.

Behaviour in such groups must not:

  • undermine academic integrity,
  • harass or intimidate members of the Elroi community,
  • distribute assessment material unlawfully,
  • damage the reputation of the academy.

2.3 Events and Activities

This Code of Conduct applies to all Elroi-related activities, including:

  • academic workshops,
  • contact sessions,
  • student meetings,
  • ambassador activities,
  • social or fundraising events organised under the name of Elroi Academy.

All participants must conduct themselves in a manner that maintains a respectful and safe environment.

2.4 Representation of Elroi Academy

Any learner or participant who represents Elroi Academy publicly must adhere to the standards outlined in this Code.

This includes:

  • Student Ambassadors
  • Learners representing Elroi in academic events
  • Individuals participating in public activities connected to the academy.

Such individuals are expected to act responsibly and ensure that their conduct reflects positively on Elroi Academy.

2.5 Behaviour Affecting the Elroi Community

In certain circumstances, behaviour occurring outside Elroi platforms may still fall within the scope of this Code where such behaviour:

  • affects the safety or wellbeing of members of the Elroi community,
  • undermines academic integrity of the National Senior Certificate,
  • disrupts the educational environment,
  • damages the reputation of Elroi Academy.

In such cases, Elroi Academy reserves the right to investigate and take appropriate disciplinary action.

3. Core Values and Community Standards

3.1 Foundations of the Elroi Community

Elroi Academy is committed to fostering a learning environment built on godliness, integrity, responsibility, and academic excellence. These values form the foundation of the academy’s community standards and guide the conduct expected from all learners, ambassadors, parents, and staff.

The purpose of these values is to ensure that Elroi Academy remains a disciplined and supportive academic environment where learners can pursue their educational goals with confidence and fairness, and providing the environment wherein educators, support staff and even students can see and value individuals, with the goal that Elroi Academy can be one of the best things to have ever happened to a learner.

All members of the Elroi community share the responsibility of upholding these values and contributing positively to the academic and caring culture of the institution.

3.2 Respect for Human Dignity

Every member of the Elroi Academy community must treat others with dignity, fairness, and respect.

Respect must be shown regardless of differences in:

  • Race,
  • nationality,
  • religion,
  • gender,
  • sexual orientation,
  • cultural background, or
  • personal beliefs.

Elroi Academy recognises that open discussion and the exchange of ideas are an important part of education. Differences of opinion and beliefs are therefore acceptable and often valuable.

However, disagreement must always remain respectful and honouring.

The following behaviours are strictly prohibited in any of the above mentioned environments :

  • harassment or intimidation,
  • predatory behaviour,
  • insults or abusive language,
  • discriminatory remarks,
  • bullying or humiliation,
  • threats or aggressive behaviour.

Any behaviour that undermines the dignity, safety, or wellbeing of another member of the Elroi community will be treated as a serious violation of this Code.

3.3 Integrity and Honesty

Integrity and honesty are essential principles in academic work and communication.

Learners are expected to act truthfully and ethically in all academic and administrative matters. This includes:

  • completing and submitting their own work,
  • acknowledging sources appropriately,
  • respecting intellectual property,
  • communicating honestly with teachers and staff,
  • complying with all assessment rules and procedures.

Any form of academic dishonesty, including plagiarism, cheating, or collusion, is strictly prohibited and may result in disciplinary action in accordance with the Irregularity Policy.

Maintaining academic integrity ensures fairness for all learners and protects the credibility of the National Senior Certificate qualification.

3.4 Responsibility and Accountability

Distance education requires a high level of personal responsibility and self-discipline.

Learners enrolled with Elroi Academy are expected to take responsibility for their academic progress and engagement with the programme.

This includes:

  • completing coursework and assessments on time,
  • staying informed about assessment schedules,
  • following the rules and procedures governing formal assessments,
  • communicating respectfully and constructively with teachers, staff, and fellow learners,
  • seeking support when difficulties arise.

Learners are expected to maintain a consistent level of effort and manage their time effectively to remain on track with their academic responsibilities.

Parents and guardians also play an important role in supporting learners by encouraging responsible academic behaviour and maintaining communication with the academy when necessary.

3.5 Protection of the Learning Environment

All members of the Elroi Academy community share responsibility for maintaining a constructive and safe academic environment.

Behaviour that disrupts the educational process, damages the reputation of the academy, or interferes with the academic progress of others will not be tolerated.

Where behaviour violates these community standards, Elroi Academy may investigate the matter and apply appropriate disciplinary measures in accordance with its policies and procedures.

4. Academic Integrity and Assessment Conduct

4.1 Commitment to Academic Integrity

Elroi Academy is committed to maintaining the highest standards of academic integrity in all aspects of teaching, learning, and assessment.

Academic integrity ensures that all learners are evaluated fairly and that the results awarded through the National Senior Certificate programme accurately reflect each learner’s knowledge, effort, and achievement.

All learners are therefore required to conduct themselves honestly and responsibly when completing any form of academic work.

Any behaviour that compromises the integrity of assessments, examinations, or academic submissions will be treated as a serious violation of this Code of Conduct.

4.2 Responsibility for Original Work

All work submitted by learners must be their own original work, unless collaboration has been explicitly permitted by the teacher or assessment guidelines.

Learners must ensure that:

  • assignments are completed independently unless instructed otherwise,
  • sources of information are properly acknowledged,
  • no unauthorised assistance is used when completing assessments,
  • submitted work accurately represents their own effort and understanding.

Learners are required to follow all procedures related to formal assessments to ensure that the work submitted is their own.

4.3 Forms of Academic Misconduct

Academic misconduct includes any action that provides an unfair academic advantage or misrepresents a learner’s work.

Examples include, but are not limited to:

Plagiarism
  • copying text, ideas, or work from another source without proper acknowledgement
  • submitting work produced by another person
  • presenting AI-generated or externally produced work as one’s own without permission.
Cheating
  • using unauthorised materials or assistance during assessments
  • accessing or distributing exam papers or answers before an assessment
  • using communication devices to obtain assistance during controlled assessments or examinations.
Collusion
  • working with another learner to produce work that is supposed to be completed individually
  • sharing answers, assignments, or exam information with others.
Misrepresentation
  • submitting work completed by another person
  • falsifying academic information
  • manipulating or altering assessment submissions.

Any form of academic dishonesty, including plagiarism, cheating, or collusion, is strictly prohibited and may result in disciplinary action in accordance with Elroi Academy’s Irregularity Policy.

4.4 Compliance with Assessment Procedures

Learners must comply with all procedures and requirements governing formal assessments, including:

  • adhering to submission deadlines,
  • following instructions provided by teachers or assessors,
  • completing School-Based Assessments (SBAs) as required,
  • participating in controlled assessments and examinations according to established procedures.

Failure to comply with assessment requirements may affect eligibility to write the final examination.

Learners who fail to submit required assessments without valid reasons may be deregistered from the final examination.

4.5 Examination Conduct

During tests, examinations, or controlled assessments, learners must:

  • follow all invigilation rules,
  • comply with SACAI examination regulations,
  • refrain from communicating with others during the assessment
  • avoid the use of unauthorised materials or devices, include artificial intelligence.

Learners may be required to make use of approved invigilation arrangements or electronic invigilation systems as specified by Elroi Academy.

Any irregularity during an assessment or examination may be investigated and handled in accordance with Elroi Academy’s Irregularity Policy and applicable SACAI procedures.

4.6 Reporting and Investigation of Irregularities

Where an alleged academic irregularity occurs:

  • the learner and/or guardian will be informed within a reasonable time,
  • the learner will be given an opportunity to respond to the allegation, either in defence or in appeal.
  • the matter will be investigated according to the procedures set out in the Irregularity Policy.

Learners and parents will be given the opportunity to present their case before a decision is made regarding any disciplinary action. However, in recent times the increased use of artificial intelligence has made it unfeasible to do full investigations and plea cases. In cases where it is clear to the irregularity committee that AI was used to produce large portions of the assessment, no opportunity will be provided to make a case, except for an appeal afterwards.

Possible consequences may include:

  • awarding a mark of zero for the affected assessment,
  • invalidation of the assessment submission,
  • disciplinary action in accordance with institutional policies,
  • referral to the assessment body where required.
  • Expulsion from the NSC for up to 5 years.

4.7 Protection of Assessment Integrity

Learners must not:

  • share assessment tasks or memoranda before they are officially released,
  • distribute examination content without permission,
  • participate in groups or platforms used to exchange assessment answers.

Participation in activities that undermine the integrity of assessments may result in disciplinary action, even where such activities occur outside official Elroi platforms.

5. Communication and Online Conduct

5.1 Principles of Responsible Communication

Elroi Academy encourages open communication and collaboration by and among everyone in our academic community. Constructive discussion and respectful engagement contribute positively to the learning environment.

All communication between learners, student ambassadors, parents, and staff must be conducted in a respectful, responsible, and professional manner.

Members of the Elroi community must ensure that their communication:

  • reflects respect for others,
  • contributes positively to academic discussion,
  • avoids behaviour that could harm individuals or the reputation of the academy.

Communication that undermines the dignity or wellbeing of others is not acceptable within the Elroi community.

5.2 Respectful Communication

5.2.1 Core of Respectful Conduct

All members of the Elroi community must communicate respectfully when interacting with:

  • teachers,
  • staff members,
  • fellow learners,
  • parents or guardians,
  • student ambassadors.

The following behaviours are strictly prohibited in any communication connected to Elroi Academy:

  • harassment or intimidation,
  • bullying or humiliation,
  • discriminatory remarks,
  • threats or aggressive behaviour,
  • the use of abusive, vulgar, or offensive language.

Offensive or abusive behaviour, including insulting or aggressive language, is considered serious misconduct and may result in disciplinary action.

5.2.2 Visual and Non-Verbal Communication

The standards of respectful communication apply equally to visual and non-verbal forms of communication, including but not limited to:

  • images and photographs,
  • edited or manipulated images,
  • memes,
  • videos,
  • GIFs,
  • stickers,
  • emojis or emoticons,
  • any other visual or symbolic content.

The use or distribution of visual content that:

  • humiliates, mocks, or targets another individual,
  • depicts or promotes violence, harm, or graphic content,
  • contains offensive, discriminatory, or degrading material,
  • is sexually explicit or inappropriate,
  • misrepresents or defames another person through edited or fabricated content,

is strictly prohibited.

Learners must not create, share, or distribute images or visual material of another person without their consent, particularly where such material may harm the dignity, reputation, or wellbeing of that individual.

The use of emojis, stickers, or similar visual elements in a manner intended to insult, intimidate, or harass others will be treated as misconduct in the same way as written or spoken abuse.

5.3 Conduct on Messaging Platforms and Social Media

Communication platforms such as messaging applications and social media are frequently used by learners to discuss academic work and share information.

The standards outlined in this Code of Conduct apply to behaviour on any communication platform directly associated with Elroi Academy, including but not limited to:

  • WhatsApp groups
  • Telegram groups
  • Discord servers
  • social media groups
  • other online messaging platforms used for Elroi-related communication.

This includes both:

  • official groups administered by Elroi Academy, and
  • student-created groups where the primary purpose relates to Elroi subjects, assessments, or student activities.

Learners must ensure that their behaviour on such platforms:

  • respects other members of the community,
  • does not undermine academic integrity,
  • does not distribute assessment material unlawfully,
  • does not damage the reputation of the academy.

5.4 Prohibited Online Behaviour

The following behaviours are prohibited in any communication platform connected to Elroi Academy:

  • harassment or bullying of any member of the Elroi community,
  • sharing answers to assessments or examinations,
  • distributing confidential academic material,
  • spreading rumours or false information about learners, staff, or the academy,
  • posting or distributing offensive or discriminatory content,
  • impersonating another learner or staff member.

Participation in online groups or discussions intended to undermine academic integrity or harass members of the community may result in disciplinary action.

5.5 Student Ambassadors and Leadership Responsibilities

Student Ambassadors represent Elroi Academy and are expected to uphold the highest standards of conduct.

Ambassadors must:

  • model respectful communication,
  • promote a positive learning environment,
  • assist in maintaining constructive discussion in student groups,
  • report serious concerns or misconduct to appropriate staff members where necessary.

Because ambassadors represent Elroi publicly, their behaviour on communication platforms and social media must reflect the values and standards of the academy.

Failure to uphold these responsibilities may result in removal from the ambassador programme and further disciplinary action where appropriate.

5.6 Protection of the Learning Environment

Online behaviour that negatively affects the Elroi learning environment may fall within the scope of this Code of Conduct even when it occurs outside official academy platforms.

Where communication or behaviour:

  • disrupts the academic environment,
  • undermines assessment integrity,
  • harms members of the Elroi community, or
  • damages the reputation of the academy,

Elroi Academy reserves the right to investigate the matter and take appropriate disciplinary action in accordance with its policies.

6. Misconduct and Disciplinary Process

6.1 Purpose of the Disciplinary Process

The purpose of the disciplinary process is to address misconduct in a fair, consistent, and transparent manner, while safeguarding the integrity of the academic environment and the wellbeing of all members of the Elroi Academy community.

Disciplinary procedures are intended to:

  • uphold the standards set out in this Code of Conduct,
  • promote accountability and responsible behaviour,
  • correct misconduct where possible, and
  • protect the academic and social environment of the academy.

All disciplinary actions will be guided by the principles of:

  • fairness,
  • reasonableness,
  • proportionality, and
  • the best interests of the learner.

6.2 Definition of Misconduct

Misconduct refers to any behaviour that violates:

  • this Code of Conduct,
  • Elroi Academy policies,
  • assessment and examination rules, or
  • applicable regulations governing the National Senior Certificate programme.

Misconduct includes, but is not limited to:

  • academic dishonesty (plagiarism, cheating, collusion),
  • harassment, bullying, or intimidation,
  • abusive, defamatory, or discriminatory communication,
  • creation or distribution of harmful or inappropriate visual content,
  • misuse of communication platforms,
  • disruption of the academic environment,
  • failure to comply with assessment requirements.

Serious misconduct includes behaviour that:

  • threatens the safety or dignity of others,
  • involves harassment or targeted abuse,
  • involves defamation or reputational harm,
  • includes the distribution of violent, explicit, or degrading content,
  • significantly undermines academic integrity or the credibility of assessments.

6.3 Reporting of Misconduct

Any member of the Elroi Academy community may report suspected misconduct.

Reports may be made through:

  • teachers or academic staff,
  • the Elroi Support Portal,
  • designated administrative contacts,
  • or student ambassadors (who are required to escalate serious matters to staff).

Reports should include:

  • a clear description of the incident,
  • relevant dates and context,
  • supporting evidence where available (e.g. screenshots, messages, submissions).

All reports will be treated seriously and handled with appropriate confidentiality.

Knowingly submitting false or malicious reports constitutes misconduct and may result in disciplinary action.

6.4 Investigation Process

When a report of misconduct is received, Elroi Academy will follow a structured process:

1. Preliminary Review

An initial assessment is conducted to determine whether the matter falls within the scope of this Code and whether sufficient information is available.

2. Notification

The learner (and parent/guardian, where applicable) will be informed of the allegation within a reasonable timeframe.

3. Opportunity to Respond

The learner will be given a fair opportunity to respond to the allegation and present their version of events.

4. Evaluation of Evidence

All relevant evidence will be reviewed, including:

  • submitted materials,
  • communication records,
  • witness accounts where applicable.
5. Decision

A decision will be made based on the balance of probabilities and in accordance with Elroi Academy policies.

All disciplinary proceedings will be conducted in a manner that is fair, reasonable, and consistent with the principles of natural justice.

6.5 Interim Measures

Where necessary, Elroi Academy may implement interim measures while an investigation is ongoing to protect individuals or the learning environment.

These may include:

  • temporary removal from communication platforms,
  • restriction of access to specific systems or groups,
  • temporary suspension from certain activities.

Interim measures are precautionary and do not constitute a final disciplinary finding.

6.6 Disciplinary Actions

Where misconduct is confirmed, Elroi Academy may impose appropriate disciplinary measures.

These may include:

  • a verbal or written warning,
  • removal from communication platforms (e.g. WhatsApp groups),
  • removal from leadership roles (e.g. Student Ambassador),
  • awarding a mark of zero for an assessment,
  • invalidation of submitted work,
  • requirement to redo assessments (where permitted),
  • restriction of access to academic services,
  • suspension from the programme,
  • deregistration from Elroi Academy,
  • referral to SACAI or relevant authorities where required.

Disciplinary action will be proportionate to the severity of the misconduct and may consider:

  • the nature and seriousness of the offence,
  • the impact on other individuals or the institution,
  • whether the behaviour was repeated or intentional,
  • the learner’s level of cooperation and accountability.

6.7 Appeals Process

Learners have the right to appeal disciplinary decisions.

An appeal must:

  • be submitted in writing,
  • clearly state the grounds for appeal,
  • be submitted within the prescribed timeframe after the decision is communicated.

Appeals will be reviewed by the designated appeal authority.

The outcome of the appeal will be communicated in writing and will be final.

6.8 Record-Keeping and Confidentiality

All disciplinary matters will be handled with appropriate discretion and confidentiality.

Elroi Academy will:

  • maintain records of disciplinary actions,
  • protect the privacy of individuals involved,
  • ensure that information is shared only where necessary for investigation or resolution.

6.9 External Reporting and Compliance

Where misconduct relates to formal assessments or examinations, Elroi Academy may be required to report the matter to SACAI or other relevant assessment bodies.

In such cases:

  • additional procedures and sanctions may apply,
  • learners must comply with both Elroi Academy policies and external regulatory requirements.

7. Specific Categories of Misconduct

7.1 Purpose of This Section

This section provides detailed clarification of specific types of misconduct that are not permitted within the Elroi Academy community.

These categories are not exhaustive but are intended to highlight the most serious and commonly occurring forms of misconduct in academic and online environments.

Any behaviour that violates the principles outlined in this Code of Conduct may still be subject to disciplinary action, even if not explicitly listed below.

7.2 Bullying and Cyberbullying

Bullying refers to any repeated or intentional behaviour that harms, intimidates, or humiliates another individual.

Cyberbullying includes such behaviour conducted through digital platforms.

Examples include:

  • repeated insults or mocking of another learner,
  • spreading harmful or embarrassing content,
  • exclusion or targeting of individuals in group settings,
  • encouraging others to participate in harassment,
  • anonymous or indirect harassment through digital platforms.

Bullying, whether in person or online, is strictly prohibited.

7.3 Harassment and Intimidation

Harassment includes any behaviour that creates a hostile, threatening, or unsafe environment for another individual.

Examples include:

  • persistent unwanted communication,
  • threats (explicit or implied),
  • aggressive or coercive behaviour,
  • targeting individuals in a way that causes distress or fear.

Any form of harassment or intimidation is considered serious misconduct.

7.4 Defamation and Reputational Harm

Defamation involves the creation or distribution of false, misleading, or harmful content about another person that may damage their reputation.

This includes:

  • making false accusations,
  • spreading rumours presented as fact,
  • sharing misleading or manipulated information,
  • publicly humiliating or discrediting another individual.

Defamation may occur through both written and visual content and is treated as serious misconduct.

7.5 Misuse of Images and Visual Content

The creation, manipulation, or distribution of visual content in a manner that harms others is strictly prohibited.

This includes:

  • editing or altering images to misrepresent or humiliate another person,
  • creating or sharing memes targeting specific individuals,
  • distributing images without consent where such sharing may cause harm,
  • using images to ridicule, shame, or intimidate others.

Any visual content that undermines the dignity or reputation of an individual will be treated as misconduct.

7.6 Offensive, Discriminatory, or Degrading Content

The use or distribution of content that is offensive, discriminatory, or degrading toward others is prohibited.

This includes content that targets individuals or groups based on:

  • race,
  • religion,
  • nationality,
  • gender,
  • sexual orientation,
  • cultural background, or
  • personal beliefs.

Learners may express personal views; however, such expression must not take the form of:

  • insults,
  • derogatory remarks,
  • demeaning language,
  • or targeted attacks on individuals or groups.

7.7 Violent or Graphic Content

The sharing or distribution of violent, graphic, or disturbing content is strictly prohibited.

This includes:

  • images or videos depicting violence, injury, or death,
  • simulated or staged violent scenes,
  • threats of violence,
  • content intended to shock, intimidate, or distress others.

Such behaviour is considered serious misconduct due to its potential psychological impact and its disruption of the learning environment.

7.8 Sexual or Explicit Content

The creation, sharing, or distribution of sexually explicit or inappropriate content is strictly prohibited.

This includes:

  • explicit images, videos, or messages,
  • sexually suggestive or inappropriate material,
  • sharing content of a sexual nature involving others,

7.9 Impersonation and Misrepresentation

Learners may not impersonate or falsely represent:

  • another learner,
  • a staff member,
  • a student ambassador,
  • or any representative of Elroi Academy.

This includes:

  • creating fake accounts,
  • using another person’s identity,
  • misrepresenting authority or affiliation.

7.10 Misuse of Communication Platforms

Communication platforms associated with Elroi Academy must be used responsibly.

Misuse includes:

  • creating or participating in groups intended to share answers or cheat,
  • disrupting academic discussions,
  • spamming or posting irrelevant content,
  • organising or encouraging misconduct through group platforms.

Participation in such activities may result in disciplinary action, even if the platform is student-created.

7.11 Disruption of the Academic Environment

Any behaviour that interferes with the normal functioning of the academic programme is prohibited.

This includes:

  • repeated disruption of communication channels,
  • interfering with assessments or academic processes,
  • encouraging others to disregard academic rules.

Disruptive behaviour may be treated as serious misconduct depending on its severity.

7.12 Cumulative and Repeated Misconduct

Repeated minor violations of this Code may collectively be treated as serious misconduct.

A pattern of behaviour demonstrating disregard for the Code of Conduct may result in escalated disciplinary action.

8. Student Ambassador Code of Conduct

8.1 Purpose of the Student Ambassador Role

Student Ambassadors play an important role within the Elroi Academy community by supporting learners, facilitating communication, and contributing to a positive and engaging academic environment.

As representatives of the student body, ambassadors are entrusted with additional responsibilities and are expected to uphold the values and standards of Elroi Academy at all times.

8.2 Standard of Conduct

Student Ambassadors are required to model exemplary behaviour in all interactions, both on and off Elroi platforms.

Ambassadors must:

  • demonstrate respect, integrity, and responsibility in all communication,
  • promote a positive and supportive learning environment,
  • engage constructively with learners, staff, and parents,
  • act in a manner that reflects positively on Elroi Academy.

Ambassadors are expected to maintain a higher standard of conduct than general learners due to their leadership role.

8.3 Responsibilities in Communication Platforms

Student Ambassadors often play a key role in moderating and supporting communication platforms such as WhatsApp groups and other student forums.

In these environments, ambassadors must:

  • encourage respectful and appropriate communication,
  • discourage behaviour that violates this Code of Conduct,
  • avoid participating in or enabling misconduct,
  • escalate serious incidents or concerns to Elroi staff promptly.

Ambassadors may not ignore, tolerate, or participate in behaviour that harms members of the Elroi community.

8.4 Boundaries of Authority

Student Ambassadors do not have formal disciplinary authority over other learners.

Their role is to:

  • guide and support,
  • promote adherence to the Code of Conduct,
  • report concerns to the appropriate Elroi staff members.
  • Moderate Subject specific Whatsapp groups to ensure that the groups stay on point and within the community rules.
    • Student Ambassadors do have authority as a group to remove and bar repeat or serious offenders from participating in the voluntary study and social Elroi Academy community groups.

Ambassadors must not:

  • misuse their position of influence,
  • intimidate or control other learners,
  • present themselves as official decision-makers on behalf of Elroi Academy.

8.5 Conduct on Social Media and Public Platforms

As visible representatives of Elroi Academy, ambassadors must ensure that their conduct on social media and public platforms aligns with the values of the institution.

This includes:

  • maintaining respectful communication,
  • avoiding content that could harm the reputation of Elroi Academy,
  • refraining from engaging in public disputes or inappropriate discussions related to the academy or its members.

8.6 Breach of Ambassador Responsibilities

Failure to uphold the responsibilities outlined in this section may result in:

  • removal from the Student Ambassador programme,
  • restriction of access to ambassador platforms,
  • disciplinary action in accordance with this Code of Conduct.

Serious violations may result in further consequences beyond removal from the programme.

9. Acknowledgement and Acceptance

9.1 Acknowledgement of the Code of Conduct

All learners, parents or guardians, and relevant members of the Elroi Academy community are required to acknowledge that they have read, understood, and agree to abide by the provisions of this Code of Conduct.

By enrolling with Elroi Academy, learners and their parents or guardians confirm that they accept the standards, responsibilities, and expectations outlined in this document.

9.2 Acceptance of Responsibility

Learners accept responsibility for:

  • conducting themselves in accordance with this Code of Conduct,
  • maintaining academic integrity in all assessments and examinations,
  • engaging respectfully in all communication and interactions,
  • complying with all academic and administrative requirements of Elroi Academy.

Parents or guardians accept responsibility for:

  • supporting the learner in adhering to this Code of Conduct,
  • maintaining appropriate oversight of the learner’s academic activities where applicable,
  • cooperating with Elroi Academy in addressing any concerns or disciplinary matters.

9.3 Binding Nature of the Code

This Code of Conduct forms part of the terms and conditions of enrollment at Elroi Academy.

Failure to comply with the provisions of this Code may result in disciplinary action, including but not limited to:

  • academic penalties,
  • restriction of access to platforms or services,
  • removal from programmes or roles,
  • suspension or deregistration from Elroi Academy.

9.4 Amendments and Updates

Elroi Academy reserves the right to amend or update this Code of Conduct from time to time in order to:

  • align with changes in educational regulations,
  • respond to emerging risks or challenges,
  • improve clarity and effectiveness of the Code.

Where material changes are made, reasonable steps will be taken to inform learners and parents or guardians.

Continued participation in the Elroi Academy programme constitutes acceptance of the updated Code.

9.5 Declaration

By enrolling with Elroi Academy and participating in its programmes, the learner and parent or guardian acknowledge that:

  • they have read and understood this Code of Conduct,
  • they agree to abide by its provisions,
  • they accept that failure to comply may result in disciplinary action.
