Terms version v6, 25 September 2026. These terms apply to every enrolment with Elroi Academy. The enrol form shows a short “Please take note” list with links to this page. Ticking the box on the form and paying the registration fee means that you accept these terms. After approval, the student, the parent/guardian and the account holder each formally accept their part during onboarding on the portal.

A. Elroi Academy’s commitments

Elroi Academy is a registered Distance Education Provider with the South African Comprehensive Assessment Institute (SACAI). We provide valid school-based assessment marks towards the National Senior Certificate, and curriculum content for the subjects we offer.

Elroi Academy will:

  • offer assessments according to the CAPS curriculum, with all material following the SACAI subject guidelines;
  • offer support services of a high standard, in line with the national policy on the programme and promotion requirements of the National Senior Certificate;
  • set and moderate assessments, mark and moderate submissions, and prepare the learner’s school-based assessment portfolio (year mark);
  • offer contact sessions that learners may attend, where available;
  • offer online courses and support for Grades 10–12. It remains the learner’s responsibility to use them;
  • report regularly to the learner and the account holder on progress;
  • follow the public school calendar. No regular work is scheduled during school holidays or exam periods;
  • issue valid reports at the start of each term for the previous term’s assessment programme;
  • handle all National Senior Certificate administration: subject changes and cancellations, exam registrations and deregistrations, exam venues, concessions and promotions.

Learners are responsible for their own internet access. Elroi Academy is not responsible if a learner cannot get online.

B. Student Agreement

Formally accepted by the student during onboarding.

Studying at Elroi Academy

  • I take responsibility for my own learning, and I will work hard to reach the results I want.
  • I will keep up a steady workload, so that I stay up to date and am prepared for every scheduled assessment.
  • If anything is holding back my progress, I will tell Elroi Academy’s support staff. This includes academic, technical and personal problems.
  • I will manage my own time and keep up with the expected completion in each subject.
  • If I start late in the year, I will catch up before the due dates. I am not excused from formal assessment dates.
  • I will ask for help early. Elroi Academy offers counselling, tutoring and technical support.

Formal assessments

  • I will make sure I know the dates of all formal assessments.
  • I will submit every formal assessment according to the assessment programme. If I do not submit formal assessments without a valid reason, I may be deregistered from the final exam, or Elroi Academy may withhold my exam registration.
  • I will write every test and exam on the date and at the time it is scheduled.
  • For exams I will use Elroi Academy’s online invigilation, a registered Tutor Support Centre, or an invigilator I nominate who is approved by Elroi Academy.
  • I will follow every rule for formal assessments, so that the work I submit is my own.
  • I will keep to the Code of Conduct. Academic dishonesty (plagiarism, cheating or working together on individual work) leads to zero for the task. It, or any other serious breach of the Code of Conduct, can also lead to suspension or expulsion, as set out in the Code of Conduct and the Irregularity Policy.
  • If an irregularity is alleged, I (and my parent/guardian) will be told within seven working days, and I will be given the chance to respond.

Tutor Support Centres

  • Any in-person education service that is not a registered school with an EMIS number is a Tutor Support Centre.
  • A centre may help with tuition, a place to study and exam invigilation.
  • A centre’s discount code does not mean that Elroi Academy approves or recommends that centre.
  • A Tutor Support Centre may not:
    • register or enrol learners on a parent’s behalf;
    • offer the school-based assessment;
    • issue reports;
    • present itself as a school;
    • act for the learner or parent without their written permission;
    • help learners unlawfully with formal assessments.

Grade 12 exam venue

Exam venues are subject to accessibility and availability. The venue I choose is my preferred venue, taken from SACAI’s latest list of accredited centres. Elroi Academy cannot guarantee it, for two reasons:

  • SACAI changes its venues every year.
  • Popular venues can fill up, and learners whose accounts are not up to date may only be registered in SACAI’s second registration window.

Most learners do write at the venue they chose. I will choose a venue I can reach, and give a second and third choice.

I, the student, have read and understood what is expected of me, and I agree to it. (Typed full name and date, at onboarding.)

C. Declaration of Authenticity

Formally accepted by the student during onboarding. The student declares that all work submitted for assessment is their own. Without a signed Declaration of Authenticity, school-based assessment marks are withheld (see the Irregularity Policy).

D. Parent/guardian agreement

For every learner under 18. Formally accepted by the parent/guardian during onboarding.

As parent/guardian of the learner, I:

  • acknowledge that the learner is enrolling for the grade on the application with Elroi Academy;
  • allow Elroi Academy to record and store the learner’s personal information for academic purposes, as the Privacy Policy explains;
  • understand the service Elroi Academy offers;
  • understand that Elroi Academy promotes a learner to the next grade only when the qualification’s requirements are met;
  • agree that Elroi Academy is not responsible for the learner’s own performance and participation;
  • have checked the computer, software and internet requirements for studying this grade online;
  • will support the learner as well as I can;
  • will read communication addressed to me and respond to it;
  • will make sure all administrative requirements are met during the year;
  • will contact the right person at Elroi Academy if anything is unclear;
  • will encourage academic integrity, and understand the consequences of dishonesty and of breaking the Code of Conduct.

It is a criminal offence to impersonate a learner’s parent or legal guardian. (Typed full name and date, at onboarding.)

E. Fees, payment and cancellation

The fees, the payment schedule, your 7-day cancellation right, the minimum cancellation fee of R500 and our refund rules are set out in the Fees, Payment & Cancellation Policy. It forms part of these terms.
